A quantity takeoff measures construction work from drawings and specifications. It records lengths, areas, volumes, and counts by trade or assembly, with units and drawing references. Pricing can be added separately. A useful takeoff shows the basis of measurement and separates confirmed quantities from allowances and unresolved scope.
What should a quantity takeoff contain?
A useful worksheet needs more than a total. Each item should identify the material or work description, unit, quantity, drawing reference, and the location where it occurs. Separating floors, buildings, phases, or bid packages makes the quantities easier to check and reuse.
The drawing register matters just as much as the worksheet. It records sheet numbers, issue dates, specifications, and addenda used in the takeoff. Without that record, two otherwise careful estimators may be measuring different versions of the project.

How the drawings become quantities
Lengths may describe pipe, duct, curbs, or baseboard. Areas may describe walls, floor finishes, or roofing. Volumes commonly describe concrete and earthwork. Counts capture fixtures, doors, equipment, and other individual components. The unit must match the way the item will be priced.
Scale is checked against a known dimension on each drawing. Mixed-scale details, enlarged plans, and resized PDFs require separate calibration. Elevations and sections are reconciled with floor plans; a wall shown once in plan can have several heights or assemblies that need different line items.
Separate measured work from purchasing allowances
A net area is not automatically an order quantity. Waste, laps, overlaps, cutting patterns, stock lengths, breakage, and packaging can change procurement requirements. Keep the net measurement visible and add each allowance as a separate calculation.

Example: a 60-by-40-foot slab
For a hypothetical rectangular slab measuring 60 feet by 40 feet and 4 inches thick, the net slab volume is 2,400 × (4 ÷ 12) ÷ 27 = 29.63 cubic yards. Its plan perimeter is 200 linear feet. These are different measurements for different work items.

Checks that make the worksheet easier to trust
Review quantities by assembly, location, and drawing. Compare a gross area check to the sum of detailed areas. Reconcile door counts with the schedule. Check whether similar floor plans have exceptions before multiplying a typical floor. Investigate unusual unit ratios instead of silently changing a number to match a benchmark.
A reviewer should be able to follow a line item back to its source. Markups and worksheet identifiers help that process. Questions that cannot be resolved from the documents belong in a clarification log, with the estimate impact identified.
Send the whole document set
Provide architectural, structural, civil, and applicable MEP drawings together with specifications, schedules, addenda, and a written scope boundary. Include the bid deadline and desired output format. A single discipline set can omit work that appears only in another discipline's notes.
Early drawings can still support a preliminary takeoff, but incomplete assemblies must be identified. Confirm whether the task covers the full building, a single trade, an alternate, or one phase. The document checklist helps make that scope explicit.

Does a quantity takeoff include prices?
Only when the agreed scope includes pricing. A quantity-only worksheet can be used with your own supplier rates or subcontractor quotations. Confirm whether labor hours, equipment quantities, and assembly build-ups are included before commissioning the work.
Can a takeoff be prepared from preliminary drawings?
Yes, with qualifications. The worksheet should distinguish measurable scope from assumed assemblies and allowances. Design changes can materially affect the result, so a preliminary takeoff should not be presented as a final procurement list.
Are net quantities the same as material orders?
No. Purchasing may require allowances for waste, laps, cutting, package sizes, and minimum orders. Keep those adjustments separate from the measured quantity so they can be checked and changed without remeasuring the plan.
How are addenda handled?
Issue the complete addendum with its date and affected sheets. A revision should identify changed quantities and superseded assumptions. Revision turnaround and fees must be agreed with the estimator; neither is automatically included.
Will the takeoff catch every design conflict?
A takeoff can expose inconsistencies, but it is not a substitute for design coordination or engineering review. Record unresolved conflicts and request clarification from the appropriate design professional before relying on affected quantities.
